Survey Terms and Conditions

These terms and conditions (the “Terms”) govern participation in the Inactive and Never-Used Operator Research Survey (the “Survey”) run by Spotless Water Ltd (the “Promoter”, “we”, “us”, “our”). By beginning the Survey you confirm that you have read, understood and agree to these Terms.

1. Eligibility

To participate in the Survey and to be eligible for an incentive, you must satisfy all of the following criteria:

  • Be aged 18 or over and resident in the United Kingdom.
  • Be a professional window cleaner or vehicle valeter operating in the United Kingdom at the time you complete the Survey.
  • Not be a current Spotless Water customer. For these Terms, “current” means you self-confirm in the Survey that you do not currently use Spotless Water for your business, and you are not recorded as an active customer on our master database (active = a completed water purchase at a Spotless Water station within the 6 months prior to the date of the Survey invitation).
  • Be the individual to whom the Survey invitation was sent and be identifiable to the Promoter via the tenant ID pre-filled in the Survey link.
  • Not be an employee, contractor, or agent of Spotless Water Ltd, or any immediate family member of the same.

Eligibility is confirmed at the start of the Survey through screening questions. If your answers indicate you do not meet the eligibility criteria, the Survey will end with a courtesy message thanking you for your time. No further responses will be collected from ineligible participants and no incentive will be issued.

2. Survey period and response caps

The Survey opens on Tuesday 5th May 2026 and closes at 23:59 on Tuesday 12th May 2026, or earlier if the response cap is reached or at our reasonable discretion.

The Survey applies a cap of 85 eligible, fully completed responses per station cohort (cohorts A, B and C), giving a total maximum of 255 incentivised responses across the Survey.

Completed responses are processed in the order they are received. Once a cohort cap is reached, further responses from that cohort will not qualify for an incentive even if the Survey remains open. We recommend completing promptly.

3. Incentive

Both incentive options below (the Amazon.co.uk gift card and the Spotless Water credit) are issued only to respondents who satisfy the eligibility criteria in clause 1 and the completion and quality criteria in clause 4. Ineligible or incomplete responses will not receive an incentive of any kind, regardless of which option is selected.

Eligible respondents who complete 100% of the Survey may elect one of the following:

  • A £5 Amazon.co.uk gift card delivered by email within 7 working days of the Survey close date or your completion date, whichever is later; or
  • A £10 Spotless Water credit applied to the tenant account associated with your Survey invitation, redeemable at any Spotless Water station within 90 days of issue. Any unused balance after 90 days will expire and no cash equivalent will be offered.

If you elect not to receive an incentive, no voucher or credit will be issued. Your response will still be used for research purposes on the same basis as other responses.

Amazon.co.uk gift cards are administered on our behalf by Tremendous Inc. (“Tremendous”), a US-based reward fulfilment platform. Spotless Water credit is redeemable only at Spotless Water stations and is non-transferable, non-refundable and has no cash value. Both incentive options are subject to the eligibility, completion and quality criteria set out in these Terms.

4. Completion and quality criteria

An incentive will be issued only where all of the following are satisfied:

  • You meet the eligibility criteria in clause 1, including the in-Survey screening confirmation that you are not a current Spotless Water customer.
  • You have completed 100% of the Survey, meaning every required question has been answered through to and including the final submission step.
  • Your response was submitted in at least 45 seconds, measured from the first interaction to final submission.
  • Your response does not exhibit straightlining (an identical answer pattern across single-answer questions) or other indicators of low-quality or automated completion.
  • The tenant ID associated with your response is not matched to an active Spotless Water customer on our master database at the time of processing.
  • Only one response per tenant ID will be eligible. If multiple responses are received against the same tenant ID, only the first valid response will be considered.
  • Your cohort has not yet reached the 85-response cap (see clause 2).

We reserve the right, acting reasonably, to disqualify any response that we believe does not meet the Terms, including responses that are suspected of being fraudulent, duplicated, or submitted by ineligible participants. Disqualified respondents will receive a courtesy thank-you message but no incentive.

5. Data protection and privacy

Spotless Water Ltd is the data controller for personal data collected through the Survey. We process your data in line with the UK General Data Protection Regulation, the Data Protection Act 2018, the Data (Use and Access) Act 2025, and the Privacy and Electronic Communications Regulations 2003. Our Privacy Policy at spotlesswater.co.uk/privacy-policy applies to this Survey.

Purpose of processing: market research to understand barriers to use of Spotless Water and inform our product, pricing and station expansion decisions, and (where you accept an Amazon.co.uk gift card) issuing your incentive.

Lawful basis. We rely on two lawful bases under UK GDPR for distinct elements of the processing:

  • For the collection and analysis of your Survey responses, your tenant ID, the cohort tag (A / B / C), and completion metadata: legitimate interests (Article 6(1)(f) UK GDPR). Our legitimate interest is understanding and improving our service. You have the right to object to this processing at any time.
  • For the transfer of your email address to Tremendous Inc. for the sole purpose of issuing an Amazon.co.uk gift card: explicit consent (Article 6(1)(a) UK GDPR). Consent is captured in the Survey through a separate, opt-in tick-box. You may withdraw consent at any time before the gift card is issued by emailing customerservices@spotlesswater.co.uk; once consent is withdrawn no gift card will be issued. Selecting the Spotless Water credit option, or declining the incentive, does not require this consent.

Data collected: your Survey responses, the tenant ID associated with your Spotless account, the cohort tag, completion metadata (time, date, device category), and (only if you elect the Amazon.co.uk gift card and tick the consent box) the email address you provide for delivery of the voucher.

Data sharing. Response data is shared with Osmo Consulting, acting as our data processor for this research, under a written data processing agreement that requires Osmo to handle the data in line with our instructions and applicable data protection laws. Where you have ticked the explicit consent tick-box, your email address is also shared with Tremendous Inc. for the sole purpose of issuing your Amazon.co.uk gift card. Tremendous is based in the United States and processes data under the EU Standard Contractual Clauses and the UK International Data Transfer Addendum, in accordance with its publicly available Data Processing Addendum at tremendous.com/data-processing-addendum. No other third parties have access to your personal data, except where the law allows or obliges them to do so.

Data retention. Individual responses are retained for 24 months from the Survey close date, after which they are deleted or irreversibly anonymised. Email addresses transferred to Tremendous are retained by Tremendous only for the period required to issue and (where applicable) reissue the gift card, in line with the Tremendous Data Processing Addendum.

Marketing. We will not use your Survey responses or any personal data collected through this Survey to send you marketing communications unless you give us separate, explicit consent to do so.

Your rights. You have the right to access, correct, delete or restrict processing of your personal data, to object to processing, to data portability, and to withdraw any consent you have given. To exercise these rights, contact customerservices@spotlesswater.co.uk.

Complaints. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

6. Tax

You are responsible for any tax or National Insurance liabilities arising from your receipt of the incentive. Spotless Water Ltd makes no representation as to the tax treatment of the incentive in your hands. If you are self-employed, you should consider whether the value of the incentive needs to be declared as miscellaneous income. If in doubt, seek independent tax advice.

7. Limitation of liability

To the fullest extent permitted by law, Spotless Water Ltd’s total liability to you in connection with the Survey and any incentive is limited to the face value of the incentive offered (£5 or £10 as applicable). Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be limited or excluded by law.

8. Changes and termination

We may amend these Terms or suspend or terminate the Survey at any time, acting reasonably, for example where we are required to do so by law, to protect the integrity of the research, or due to unforeseen operational issues. Where material changes are made, we will publish the updated Terms and, where practicable, notify active respondents.

9. Governing law and jurisdiction

These Terms are governed by the laws of England and Wales. You and we submit to the exclusive jurisdiction of the courts of England and Wales in respect of any dispute arising out of or in connection with these Terms or the Survey.
